Senior Accountant
Job Summary

The Senior Accountant is responsible to the Head of the Finance and Accounting Unit in the Administrative Services Department of the University of Georgia Libraries for a variety of specialized clerical accounting and bookkeeping functions.  Activities and decisions are varied in nature, requiring independent action, excellent judgment, confidential treatment, and professional demeanor. Unusual cases or questionable matters are resolved with this position's supervisor.  Attendance and punctuality are essential to the proper performance of the position.

The Finance and Accounting Unit is comprised of six professional support staff.  The Unit is located in the Libraries’ Administrative Offices, which is comprised of the office of University Librarian and Associate Provost, Deputy University Librarian and Director of Library Technology, Director of Administrative Services - Libraries, Manager of Libraries’ Human Resources, and Finance and Accounting. The Administrative Offices is a collaborative work environment.  Staff members are expected to demonstrate flexibility with scheduling to ensure complete coverage of office and to provide assistance to others to meet broader departmental needs.

Duties and Responsibilities

PERCENTAGE:

DUTIES AND RESPONSIBILITIES:

50%

Posts transactions to QuickBooks; scans documentation to internal digital filing system; and processes payment requests.

20%

Handles internal departmental transactions, such as InterLibrary Loan refunds >> Keys deposit refunds >> GNP billing and lost book refunds.

10%

Prepares reports, surveys, etc., by collecting, assembling, and analyzing data. Assembles, researches, and summarizes information from various resources. Compiles data or calculates simple statistics to prepare special reports for the Administration Offices, including Foundation accounts.

General Administrative Duties: Filing, copying, scanning, and staffing reception desk for the Libraries’ Administrative Offices, which includes Administration, Administrative Services, and Human Resources.

  • Answers phones and greets visitors
  • Orders supplies and maintains inventory
  • Delivers mail to departments located in North Quad, Business Services, and UGA HR, as needed.

Acts as backup in the absence of the Executive Assistant to the University Librarian and Associate Provost to provide administrative support for the University Librarian, Deputy University Librarian, and Director of Administrative Services by composing routine correspondence, maintaining calendars, making copies, coordinating mailings, completing routine forms, maintaining filing and management of other projects and programs.

Assists Libraries personnel in the completion of travel requests, group travel and arrangements. Utilizes the University of Georgia Vehicle Reservation System to process vehicle requests for Libraries’ personnel travel. Follows the appropriate policies and guidelines and communicates actions with appropriate requesting staff.

Assist and liaise with UGA Libraries’ HR Manager with administrative support, as needed.

Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE, (the Libraries’ listserv) and other communication tools, attending appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

Keeps the Head of Finance and Accounting and other appropriate personnel informed of issues related to the office or related to staff needs by communicating and interpreting appropriate university personnel policies and procedures, concerns and issues.

Maintains flexibility and awareness of changes and needs in the office and organization by assuming similar duties and responsibilities as assigned.

Qualifications

Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualificaitons.

Knowledge, Skills, Abilities, and/or Competencies
  • Considerable knowledge of the principles, concepts, and procedures of budgeting and procurement.
  • Ability to produce and maintain complex statistical reports and records, using Microsoft software packages, such as Word and Excel.
  • Ability to establish and maintain effective working relationships with faculty, staff, students and the public.
  • Ability to identify problems, analyze information and implement solutions.
  • Ability to efficiently multi-task, handle interruptions and meet accounting deadlines.
  • Strong organizational and time management skills with emphasis on accuracy and attention to detail.
  • Excellent verbal and written communication skills with the ability to discretely convey confidential information of a sensitive nature.
Preferred Qualifications
  • Completion of a Bachelor’s degree in accounting, business, or a related discipline with a minimum of 3 years of related experience required, or any equivalent combination of education, training, and experience preferred.
  • UGA Departmental Financial System and Foundation related experience strongly preferred; Experience with UGA accounting, accounts payable, travel policies, and procurement procedures preferred;
  • Working knowledge of QuickBooks.
