Faculty Borrowing Privileges

The term "faculty" applies to University personnel holding faculty rank at or above the level of instructor, and to librarians and administrative "A" employees.   Faculty privileges are also granted to certain research associates, professional staff connected with government laboratories located on campus, personnel with faculty rank at the Agricultural Experiment Stations, Cooperative Extension Service (with faculty rank or status), and Marine Institute. If you are officially retired from the University of Georgia you may retain your current faculty borrowing privileges.

A picture ID is required to borrow materials from the University of Georgia Libraries. The preferred form of identification is the UGA ID card. A current, government-issued picture ID - such as (but not limited to) a driver's license, Georgia ID card, US passport, or US military ID - may be used instead.

NOTE: These policies apply to the Main and Science Libraries only. Please contact the Law Library for information concerning their faculty privileges and obligations.

Loan Periods - The loan period for faculty is 1 year. Exceptions include: rare books, periodicals, microforms, newspapers, Leisure Collection, and others materials. The Leisure Collection circulates for 14 days. Bound volumes of journals may be borrowed for 7 days. For more information on loan periods, check here. There is no limit to the number of items a borrower may check out, with the exception of special permission and Reserve items.

Proxy - A representative of a faculty member allowed to charge out material for the faculty member's use. Proxies must bring the Proxy Authorization Form, signed by the authorizing UGA faculty member to the Main or Science Library to have the proxy authorization assigned.The faculty member is responsible for any charges. Permission is granted for one year;  the expiration date should always be included on the faculty authorization form.  Please allow one business day for processing.

This permission is extended as a courtesy to the faculty member and should be used only when obtaining materials for the faculty member to use directly. When an individual is obtaining materials for his own use, such materials should be charged out in the individual's name according to his personal library privileges. A faculty member is responsible for all materials charged to the authorization.

Renewals - 2 automatic renewals for most  items. After the 2 automatic renewals, books may be brought to the Circulation Desk at Science, Main or the CML to be renewed. There is no limit on the number of times an item may be renewed as long as no one else has requested it.

Recalls - A book charged out to another patron can be recalled. When the book is returned, the faculty member will receive e-mail notification. Upon request, these materials can be sent through the delivery service.

Lost or Damaged Items - Faculty are responsible for fines on recalled items and for the replacement of lost/damaged items. Recall overdue fines are $1.00 per day, per item. Replacement charges include the price of the book plus a $35.00 processing fee. Payment for recall fines and lost/damaged fees can be made in person at the Main and Science Libraries' circulation desks with cash, check, or credit card. Payments can also be made via telephone with a credit card or by mail with a check or money order paid to the order of UGA Libraries. Faculty will lose library privileges for long overdue items and excessive outstanding charges on their library accounts.

Library Privileges for Dependents - Spouses and children of faculty are eligible for borrowing privileges when they present a faculty/staff dependent UGACard and a completed dependent voucher signed by the sponsoring faculty/staff member.

Reciprocal Faculty Borrowing Program - This is a program of the Research Libraries Advisory Committee to OCLC that gives faculty members of participating institutions borrowing privileges and on-site access to the collections of some of the most important research libraries in North America.
