Job Summary

The Access Services Office Assistant is responsible to the Circulation Services Manager for performing a variety of diverse duties and responsibilities that include assisting patrons with specialized circulation services, issuing borrowers' cards, placing and clearing student registration holds/flags, answering inquiries concerning library obligations and access to library electronic resources, and interpreting policies, rules, and regulations. The Access Services Assistant also serves as the receptionist for the Access Services office, providing routine information and directions pertaining to Library policies to the public both in person and by telephone, and directing them to the appropriate Departments. This position is also responsible for updating patron records, and maintaining office statistics.

The Assistant serves in a public services capacity within the Access Services Department when needed. Work is performed under general supervision following established practices and procedures. Work at a computer terminal is required.  

Duties and Responsibilities

Assists in the operation of the Libraries' resource sharing program, GIL Express, by coordinating transactions such as reviewing and processing requests from within the University System of Georgia, preparing material for transport, processing materials from other USG libraries, maintaining records of material in GIL Express, instructing UGA patrons in the use of GIL Express and the UGA book retrieval and acting as a resource for library staff within the UGA libraries and throughout the state.

Provides information and direction pertaining to Library policy by greeting the public in person, by email, or by multi-line telephone and by answering questions related to Access Services or by directing them to appropriate departments.

Provides faculty with books and photocopied/scanned articles by maintaining a delivery service to a variety of departments and branches on/off campus.

Maintains the integrity of the Library collection by preparing various notices, billing and processing fines, placing holds on student records in both the Libraries' and Registrar's databases, and by notifying patrons of these transactions.

Routes and handles information to addressee by distributing mail and by revising addresses and updating patron records on the Libraries data base.

Apprises patrons of the status of their Library records by sending a variety of email, computer generated paper and manually prepared notices which
include information about overdue, recalls of books, availability of books and various bills for lost library material.

Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries' listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

Furnishes necessary operational information for the Department by maintaining statistics, extracting data from records, and checking tabulated data for accuracy and completeness in order to generate annual and planning reports.

Completes assigned projects and assists in other areas of the Access Services Office and Department as needed by offering services to other staff when appropriate and with the permission of the Circulation Services Manager in order to facilitate the work flow throughout the Department.

Maintains flexibility and awareness of changes and needs in the department and Libraries by assuming similar duties and responsibilities as assigned.

Qualifications

 

MINIMUM QUALIFICATIONS:

One year of college education AND one year library or related clerical/customer service experience; OR two years library or related clerical/customer service experience; OR any equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities have been achieved.

REQUIRED QUALIFICATIONS:

Effective verbal and written communication skills; Ability to establish and maintain effective working relationships and to deal tactfully and courteously with library patrons; Ability to effectively use a computer; Knowledge of modern office practices, procedures and equipment; Ability to perform clerical tasks accurately with close attention to detail; Ability to perform repetitive tasks while sitting or standing at workstations is required.

Physical Demands

Sitting for long periods of time at a computer terminal is required. Position also entails lifting boxes weighing approximately 30 pounds each.
