Endnote and Research Databases

These instructions are developed for topical searches in selected research databases licensed by GALILEO and the UGA Libraries. If you want to search for known item(s) some steps may be omitted. See searching for known items in GALILEO (PDF file).

A


Academic Search Premier (EBSCO)

Direct Export update 4/06/04

Alert--Direct Export is now available. However, each record must be changed manually from Generic reference type to Journal Article, Newspaper Article, etc. in Endnote so that it will style correctly in APA5, etc. (although one could "go with the majority rule* and use global edit to change all to journal article and then tweak the few that are more aptly newspaper article, etc.)

Also on older ASP records, the End page of the article does not appear in the Endnote Pages field. You may be able to find the total number of pages in the Endnote Notes field (i.e., 2p., 5p., etc.) or you may need to go back to ASP in your browser and find reference again and see the End page.

  • Click Preferences and increase your maximum display to 50.
  • Click Advanced Search tab to craft your search strategy.
  • Add your search Results to the folder, either one by one or Add all.
  • Click "Folder has items" icon.
  • From your Academic Search Premier search results folder view, click Save to Disk.
  • In the Save Manager, click tab Bibliographic Manager.
  • Direct Export to software and click Save.
  • When Endnote's Select a Reference Library window appears, highlight the library, click Open and your references will transfer.

AGRICOLA (EBSCO)

Direct Export updated 4/6/04

ALERT -- Direct Export is now available but you'll have to tweak books and book chapters. I couldn't write a filter that did a better job with book chapters ; since you'd still have to tweak those records, Direct Export will be the most efficient way to transfer all Agricola references. You'll have to change the Book and Book Chapters from Generic to the correct reference type and make sure the bibliographic data is in the correct field.

ALERT: 9/30/04 EN7 and earlier versions have reference type Generic assigned to bundles of 2-100; reference 1 is assigned the correct Reference Type. APA5th and other styles cannot style Generic records so reference type will have to be changed until the problem is resolved. Direct Export assigns correct reference type for the time being only with EN8!

  • Click Preferences and increase your maximum display to 50.
  • Click Advanced Search tab to craft your search strategy.
  • Add your search Results to the folder, either one by one or Add All.
  • Click "Folder has items" icon.
  • From your Agricola search results folder view, click Save to Disk
  • In the Save Manager, click tab Bibliographic Manager.
  • Direct Export to software and click Save.
  • When your Endnote's Select a Reference Library window pops up, highlight the library, click Open and your Agricola references will transfer. Remember to locate book records and change Generic to Book or Book Section as appropriate so they will style correctly.


America:History & Life and Historical Abstracts (ABC-CLIO)

Download filter

  • (Optional) From the search result page, click in the "Tagged" box for each record you wish to download.
  • Click on the Output Options button, then click on Full Entry format, and request either All Entries or Tagged Entries.
  • Click on the SUBMIT button.
  • From the File menu of your browser, choose Save as... and use the "Plain text" option.

Animal Behavior Abstracts

Download filter

L'Annee Philologique

Download filter

  • Mark results to be exported, then click on the Export button.
  • A new window will open; click on the Export button in this window.
  • Another new window will open; use Ctrl-S to save its content as a text file.

Usage Notes:

1. L'Année Philologique includes minimal citations for offprints (tiré-à-part) that appear to be journal articles reprinted in larger collections. This type of citation is assigned to the EndNote "Book Section" reference type.

2. Journal titles in L'Année Philologique citations are generally abbreviated; e.g. BICR, CArch, JAOS, etc.

Annual Review of.........

Direct download

  • ALERT: keywords will not come along with the citation and abstract so you can either copy/paste from the Annual Review page or sometime Export the record from Web of Science which will have the keywords


Anthropological Literature (Eureka)

Import

  • Click Preferences in upper right
  • Set your session preference for email, print, download records to Endnote native format
  • Click Apply Preferences
  • In your results, click Check all (maximum you can check is 25)
  • Click Print and your 25 results will build in a separate browser window and be tagged with Endnote tags. Save as a .txt file.
  • Import into Endnote with Endnote Import filter or Refer/BibX filter.

Big problem with this database/filter: There is nothing to distinguish a book from a journal article. Both use Citation for the data field, but I can't Parse the field for *both* formats if the reference format/document type is not included.

The filter uses Journal Article as the default (since the majority of references are articles), and you'll have to review each record for book chapters, change Reference Type at the top of the record to Book Section, and cut/paste the data from the Journal field (will become Book Title field) into City, Publisher, chapter title and page numbers.

Article First (OCLC FirstSearch)

Download filter

  • Before you search, click Options; maximize list display to 100; click Set.
  • Choose Advanced Search to get drop-down menus for specific tags to focus your search topics.
  • Click the Export icon to send 100 records (default) or only your marked records to Endnote via quick Export screen.
  • Click the Export button and specify the EN library and the filter to use. Voilà, the 100 records go into Endnote.
  • To proceed to the next 100 (101-200) click Back and then at Results click the Forward arrow. When 101-200 display, click Export, etc.
  • Note: you cannot retain marked records from one search and then perform another search and export the results of the two searches together. You should Export all or selected records in bundles of no more than 100 for one search, and then perform your next search and Export those records.


ATLA Religion Index (EBSCO)

Direct Export

ALERT: EN7 and earlier versions have reference type Generic assigned to bundles of 2-100; reference 1 is assigned the correct Reference Type. APA5th and other styles cannot style Generic records so reference type will have to be changed until the problem is resolved. Direct Export assigns correct reference type for the time being only with EN8!

CABDirect (formerly CAB Abstracts --Commonwealth Agricultural Bureaux)

Use Export (but it's a little different than other Exports!)

  • Perform your search in CABDirect.
  • On right, click Records and increase the display from 25 to 100 (maximum number of records you can Export in one bundle)
  • On bottom of screen click Mark All, which will mark all 100. Choose Full Record and on right, click Export in Endnote format.
  • Save to your desktop (you'll notice this is a different file type -- an Endnote Import file and it has a different extension .enw)
  • There's a variation on the transfer from your desktop into Endnote; just double click on the file and it will open Endnote and ask you to select what library you want the references in and Voilà there they are!

Alert: there are some bugs with the way Reference Types are assigned in this new environment in CABDirect. Reports are typically assigned Conference Proceedings instead of Report. And there are a couple of other snags, so some Endnote records from CAB may need tweaking. Probably the journal articles are OK, although I saw one Report that was mistakenly assigned Journal Article reference type. Endnote staff is going to work with CAB to create a better transfer of data.

Child Abuse, Child Welfare and Adoption Database (Biblioline from NISC)

Download filter

  • Choose Full record as Output style
  • Save your results as a .txt file.
  • Direct Export into Endnote is an option, but the records' format are all Generic and each one will have to be massaged to a great extent. I cannot modify the Export filter. This custom filter corrects most of the wrong field assigns of Generic.
  • Save the Results to your computer as a text file, and mport with this filter. Caveat: this filter is not perfect either! Books and book chapters will probably need the most tweaking.
  • All the data is in Book Title so you can cut/paste into appropriate nearby fields...
  • Big omission in the database: no pages for Chapters in Books!! You'll have to insert them after you read the chapter


CINAHL Nursing and Allied Health (EBSCO)

I recommend you use the EBSCO CINAHL entries for dissertations *only* as interim records. Once you know about a dissertation it is better to import the dissertation record from Dissertation Abstracts and substitute it for the Endnote record you created from CINAHL-EBSCO.



Communication Abstracts (EBSCOhost electronic journals service)

Direct Export

  • Click Find Articles.
  • Search your topic in Title and Abstract.
  • Mark those of interest or, if only one needed, click Export to Citation Manager.
  • Go to Marked List.
  • Click Check All.
  • Then in Checked Items: Click Export to Citation Manager button.
  • Choose your Endnote library after Endnote opens.

  • E-mail references in two groups: one from 1998 to present records one for 1992-1997.
  • Save e-mail contents as .txt
  • Import with custom Current Contents custom filters 1998-present and 1997-earlier as appropriate.

Comparing a topical search or a known item search in Web of Science, Current Contents Connect and Current Contents (1992 to present) in their interface to Endnote, I recommend first trying a topical search in Web of Science. If I received an Error message that the concurrent users number was maxed out, I'd evaluate my needs. "Could I wait?" If not, would a search of the last 4 years in Current Contents Connect satisfy my needs? Current Contents Connect would be my second choice if I needed records in the last 4 years quickly. If I needed more years but not earlier than 1992 then I'd use Current Contents (1992 to present) if I could not wait.

Direct Export

  • Use Export with your browser to download your Marked Results.

Dissertation Abstracts (Proquest)

Direct Export

  • From Results list, click Mark All on Page (scroll down to lower right and increase Display 10 to 30 maximum)..
  • From Marked List, click Export to Endnote.
  • Click export directly into Endnote.
  • Caveat: you'll have to tweak City field in Endnote
  • Caveat 2: in Endnote 8, to import Abstract with bibliographic citation, you have to Edit the RefMan RIS filter
    (Endnote Edit/ImportFilters/RefMan RIS filter/Edit button/Template/Insert new line in Field column Ab - Insert Field Abstract (note there are two spaces before the hyphen). Click File/Save to save the change.

Important Information About Which ERIC to Use

Alert--Direct Export is now available but a major problem with Endnote exists. All records are Direct Exported as Journal Articles...which means that *each* ED Report will have to be changed to Report reference type to style correctly. More on problems...

  • Until the Export problem is fixed, I suggest you import your results from ERIC at OCLC FirstSearch or ERIC at Cambridge, both of which transfer correct reference types to each Endnote record.


ERIC (OCLC FirstSearch)

CAVEAT about pagination: Ethnic NewsWatch only provides begin page so you'll have to "interpret" end page by looking at begin page of next article in same journal issue and typing the previous page number into the Endnote record as the last page.



Exceptional Child Educational Resources (Silverplatter)

Alert: This database ceased with the last update October 2004. However we will continue to have access to the records through August 2006.

Download Connection

Use custom connect to database note: I've made two connection files, one with journal article as default and the other with report as default.

Caveats: (unfortunately, too many)

  • Because this database goes back to the late '60s, some records do not have a Document Type assigned. The default document type for one file is Journal Article (because of the preponderance of that type), so a few oldies which are books or reports will require you change the Reference Type from Journal Article to their correct Type. Look for additional information in the Notes field that you can cut/paste into the Publisher/Institution field. If you don't find anything there, you may need to search EXER with your web browser to bring in the complete data for some of the records which do not match the default type.
  • Some records may have et al in the Author field and this will not assist you when you write and cite. You'll have to look that reference up in another database like ERIC, Education Abstracts, etc. and to find the complete bibliographic information.

Family and Society Studies Worldwide (Biblioline from NISC)

Download filter

  • If you have more than 500 records in your Results set, use years to make smaller sets.
  • Narrowing results to 500 or less allows you to mark or unmark all records in one easy step for email, export [to database manager], print or to save displayed text to file. See Mark All option at bottom of Results screen.
  • At box Select Output Format, choose Output Marked Full Records.
  • Save your results as a .txt file.
  • Direct Export into Endnote is an option, but the records' format are all Generic and each one will have to be massaged to a great extent. I cannot modify the Export filter. This custom filter corrects most of the wrong field assigns of Generic.
  • Save the Results to your computer as a text file, and import with this filter. Caveat: this filter is far from perfect <blush> Books and book chapters will need tweaking as will thesis/dissertations (perhaps for the latter you can get the *prime* bibliographic record from Dissertations Abstracts online to use in Endnote.
  • All the data is in Book Title so you can cut/paste into appropriate nearby fields.
  • Big omission in the database: no pages for Chapters in Books!! You'll have to insert them after you read the chapter.


Gender Watch full-text (Proquest)

Direct Export

  • Mark your search results
  • Click Marked List tab
  • Click Export citations into EndNote
  • Click Export directly to ProCite, EndNote or Reference Manager..

CAVEAT about pagination: Gender Watch only provides begin page so you'll have to "interpret" end page by looking at begin page of next article in same journal issue and typing the previous page number into the Endnote record as the last page.

Health Source - Consumer Edition (EBSCO)

WARNING--Direct Export is now available but I cannot recommend it until the major problems are fixed. More on problems....

Until Direct Export is fixed, use the following process to bring Health Source records into Endnote.

  • Click Preferences and increase your maximum display to 50.
  • Click Advanced Search tab to craft your search strategy with drop-down boxes.
  • Add your search Results to the folder (now one by one; soon to be able to mark all on one page).
  • From your search results folder view, click Save to Disk.
  • In the Save Manager, bullet Direct Export in Bibliography Manager format.
  • When the results redisplay, use your browser file/save to save the results as a .txt file to your desktop.
  • The EBSCO references from 1999 and earlier are inconsistent in format (two-digit instead of 4). After importing your references into Endnote, you will move the data from the Date field to the Year field if necessary. Use the Move Field command (under References) to move the data from the Date field to the Year field.
  • I have included two filters - 1999 and earlier and 2000todate if you want to split your searches by date and use the related filter. This will save you some tweaking.
  • Import the .txt file with the appropriate custom filter.


Historical Abstracts (ABC-CLIO)

Download filter

  • (Optional) From the search result page, click in the "Tagged" box for each record you wish to download.
  • Click on the Output Options button, then click on Full Entry format, and request either All Entries or Tagged Entries.
  • Move bullet to Tab-delimited format.
  • Click on the SUBMIT button.
  • From the File menu of your browser, choose Save as... and use the "Plain text" option.


HRAF (Human Relations Area Files)

The following is a clunky method but if you use the rich HRAF database, it may be worth your time.

  • From your results click hotlink to document.
  • Click publication information.
  • Highlight and copy all bib info including abstract (start with Publication Information which is below button go to long view).
  • Paste into notepad.
  • Enter 2 lines spaces to separate that HRAF record from the next one you paste.
  • Click Back button in your browser to return to your Results list.
  • Click on next hotlink to document.
  • Etc.
  • You may want to prefix (OCMs) in front of that number in Keywords.
    You may want to prefix (Document Number) in front of that number in Keywords.
  • All records will import in Generic.
  • Change each to the appropriate Journal Article or Book or Book Section with cut and paste (and delete) if necessary so your style will work.

Download filter

  • From your Results list, click Print/E-mail/Save button on left.
  • Bullet Destination: Save
  • Check Include: Record numbers (important to do this).
  • Check Include: full text links (optional).

Direct Export

  • In your search results, you must Select each citation individually; there is no Mark All (although you may choose the Results Overview and see your results sorted by journal, if that is a useful way to make your selections, although you still must mark each from the specific journal)
  • Click Selected Records in left navigation bar
  • Choose Export directly to Endnote...
  • Use global edit (References/Change&MoveFields to Move all information from Date into Year) before you merge the records into your Endnote library
  • Alert 1: there are some authors omitted and et al substituted and you'll have to correct/update that when you read the paper -- you don't want et al in the Endnote author record because it shouts incomplete and the style you choose won't be able to process it correctly
  • Alert 2: Internal quotation marks in a title will textualize as &quot which you'll have to delete.

JSTOR (full-text articles)

Download filter

  • Search your term(s) in full-text to maximize matches. Since the database is so extensive and goes back so many decades, only a small percentage of articles have abstracts.
  • When your Results appear, click Entire List to display up to 200 results at a time. Click Save All citations on this page.
  • Click Display Saved citations.
  • Export citations as a text file in citation-manager format. Click Export button.
  • Save as a .txt file.

Many citations in JSTOR do not have keywords or abstracts because they were not required for publication. I recommend that when you add JSTOR citations to Endnote you take the time to Change Text globally and add a few terms to the Keywords field -- at a minimum add the terms you searched which resulted in the matches. You can always add additional phrases to individual records. You want to be able to recover your Endnote records easily even if the term is not contained in the Title or you can't remember an author -- adding keywords will allow you this retrieval.

MathSciNet

Import with generic Endnote Import filter

  • Execute your search in Basic or Advanced Search.
  • On left of Results page, directly under the number of matches, click the dropdown arrow for box displaying Reviews (html) and select Citations (Endnote).
  • On Results page, you can process up to 50 at a time without marking them. Click Retrieve first 50.
  • In IE browser, click ctrl-A (Select All) to highlight the 50.Click ctrl-C to copy the highlighted records. Open Word or Notepad and click ctrl-V to paste. Save as a .txt file.
  • Import into your Endnote library with the generic Endnote Import filter.

Unfortunately, no keywords or abstract accompanies these citations so you may want to add your own keywords to enhance retrieval. At the very least, add your search term(s) in the Keywords field if title doesn't contain the term(s).

I'll see if I can create a better filter.



Medline at NLM (PubMed at Natl Library of Medicine)

Connect with PubMed function only supported in Endnote 6 and Endnote 7. Due to numerous changes at the National Library of Medicine, ISI decided not to support earlier versions of Endnote with a Connect patch to accommodate these changes.

Endnote 5 and earlier versions should Direct Export Medline records from OCLC FirstSearch in bundles of 100 (see Medline at OCLC FirstSearch below)

  • Before you search, click Options; maximize list display to 100; click Set.

MLA Bibliography (EBSCO)

ALERT--Direct Export has a few remaining problems with data about Books and Book Sections transferring correctly. You should delete (ed.) in the Editor field as MLA style will insert this information as appropriate. And move Introduction information into Notes. More on problems..

ALERT: 9/30/04 EN7 and earlier versions have reference type Generic assigned to bundles of 2-100; reference 1 is assigned the correct Reference Type. APA5th and other styles cannot style Generic records so reference type will have to be changed until the problem is resolved. Direct Export assigns correct reference type for the time being only with EN8!

  • On Saved Results page, at Export Marked Results to, bullet Endnote and click Export. After you've exported the first 100 results, clear them and click Clear Marked Results.
  • Go to page 2 of your results, mark all (101-200), and repeat process.

PsycINFO database now contains SFX at UGA links to many full-text articles.

Web of Science (Social Sciences, and Arts & Humanities...a more descriptive name) (ISI)

Direct Export

  • Choose General Search
  • Scroll down to General Search button and click.
  • From the first page of your results, in the Mark box mid-screen right, move bullet to Records and insert first record number and last record number (maximum of 500)
  • Click Submit button.
  • Click Marked List icon at top of page
  • Be sure to select the fields Keywords and Abstracts to add to your Marked List before Exporting. You also might want to click Times Cited which will add the phrase Times Cited ## to your Endnote Notes field. If an article is cited a lot you might want to be sure to read it...but otherwise the information may not be of interest to you.
  • Click *Export to Bibliography Software* to transfer directly into your Endnote library.

Managing more than 500 matches:

  • Export first 500 references.
  • Delete this list button will clear your exported references and make room for more to export
  • Return to your results
  • Type 501 in first record box and xxx (choose up to another 500) in second box beside Records from .... to.....
  • Click Submit
  • Etc as above

If you get a "busy signal" indicating concurrent users limit is maxed out in WOS, consider reentering later. Another option is to use Current Contents Online (last 4 years only) or Current Contents (1992 to date). The latter does not have an Export or Connect feature.

Endnote Connect is also available from on-campus only.



Wildlife and Ecology Studies Worldwide

  • If you have more than 500 records in your Results set, use years to make smaller sets.
  • Narrowing results to 500 or less allows you to mark or unmark all records in one easy step for e-mail, export [to Endnote], print or to save displayed text to file. See Mark All option at bottom of Results screen.
  • At box Select Output Format, choose Output Full Records.
  • Save your results as a .txt file.
  • Import with the custom filter. Book and Book Sections will need major cut/paste. Book data will be in Notes; Book Section info will be in Book Title field.

Worldwide Political Science Abstracts (Cambridge Scientific)

Download filter

  • Use Advanced Search to craft the best search.
  • From the search results screen, click on "Save/Print/Email Records".
  • On the Save/Print/Email screen, you can process up to 500 matches at a time.
  • Select the following:
    Record Format: Full record
    Save: choose PC or Mac
    Click the "Submit" button. Your web browser will ask you where to save the file. If your web browser gives you the option to save in different file formats, be sure to save as a "Text Only" (*.txt) file.

An occasional journal article may stash Issue in Volume and year in Pages so you'll have to cut/paste the data correctly.

Books and book chapters may need a little tweaking since all the data is plopped into SO: field and inconsistent punctuation is used to separate elements. So you might have to cut/paste editors from Endnote City field into Endnote Editor field. However, no data should be missing.

Dissertations will primarily be from Dissertation Abstracts and so you might get a better entry by importing from online DA instead and substituting for the WWPSA records.
