POSITION: Science Access Services Supervisor (Library Associate III)

ANNUAL SALARY: $27,000

JOB SUMMARY:

The Science Access Services Supervisor is responsible to the Assistant Head of Access Services for coordinating the routine operations of circulation and reserves services at the Science Library, including the joint service desk shared with the Reference Department. This position is responsible for solving problems that arise at the service desk by interpreting policies, procedures and routines. This position also supervises six full-time Access Services staff positions.

The nature of this position necessitates a thorough knowledge of circulation policies and procedures, using tact and judgment in dealing with difficult patrons and questions, and an understanding of the organization and responsibilities of the University of Georgia Libraries as a whole. Employees at this level exercise an exceptional degree of authority, independence, and initiative in decision-making and creative problem-solving that requires careful interpretation and constant use of discretionary judgment.

DUTIES AND RESPONSIBILITIES:

30% *Develops and maintains a competent, productive and satisfied staff by managing the hiring, training, supervising, evaluating, counseling, coaching, and terminating as required.

20% *Handles problems that concern policies, procedures and routines relating to the public service desk by providing correct and courteous interpretations and solutions. Resolves unusual problems by referring them to the Assistant Head of Access Services.

10% *Aids patrons in the use of the Libraries’ resources by circulating materials, providing general information, accepting requests for items, collecting fees, issuing specialized borrowers cards and study carrels, clearing flags, creating and updating item records and answering inquiries requiring interpretation of policies, rules and regulations.

10% *Coordinates financial activities of the Access Services Department by acting as a receiving agent for funds collected for fines and lost books; balancing individual accounts; preparing deposits of funds collected for transmittal; and monitoring change funds, carrel key and lost book accounts.

5% Oversees the remote request fulfillment of UGA faculty and intra-library branch deliveries, as well as GIL Express within the University System of Georgia institutions, by supervising the receiving, processing, and delivery of materials and electronic document delivery.

5% Promotes and participates in resource sharing at the Science Library by cross training with the Reference Department to provide limited reference assistance as well as coordinating the training of Reference staff and student assistants to provide limited circulation assistance from a joint service desk.

5% Prepares hourly, salaried and monthly payroll by verifying timesheets, creating payroll vouchers, and maintaining leave records.

5% Manages the circulation of materials to promote dependable and equitable access to library resources by billing and notifying patrons of outstanding obligations which includes lost or damaged materials.

5% Provides a safe environment for Libraries’ users, staff, and materials by monitoring security gate activities, training unit workers in the provisions of the library emergency procedures and knowing, performing and training staff in the duties involved in opening and closing the library.

2% Prepares scheduled and requested reports by providing accurate, current, relevant statistical information and by discussing significant events with appropriate supervisors.

1% Recommends changes in current services or the addition of new services by evaluating the operation of the unit and service to the library patrons.

1% Maintains flexibility and awareness of changes and needs in the Access Services Department and the organization by assuming similar duties and responsibilities as assigned.

1% Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE, SOUTHPAW and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.
