POSITION: Mail and Delivery Services Assistant (Library Associate I)

ANNUAL SALARY: $21,834

JOB SUMMARY:

The Mail and Delivery Support Services Assistant is responsible to the Coordinator of the Libraries Mail and Delivery Support Services for sorting all materials received in the Libraries' mailroom and delivering the Libraries' mail, as well as delivering books and other materials to branch libraries and other locations on campus, as requested by faculty. This position supervises staff and student positions involved in mail delivery services and maintains consistency in all aspects of mail delivery services and associated record keeping.

DUTIES AND RESPONSIBILITIES:

25% * Ensures incoming Libraries mail (including on-campus branch libraries) is distributed to addressee by sorting and delivering.

25% * Prepares out-going U.S. and on-campus mail by following departmental processing procedures, as well as specialized mail including Federal Express, UPS, and bulk mailings.

5% * Participates in the supervision and evaluation of the Delivery Worker II and student assistants by interviewing, hiring scheduling, training, instructing, monitoring, and evaluating their daily activities.

12% * Transports Libraries' mail and equipment to and from the U.S. Postal and campus mail facilities.

12% Receives shipments of library materials, supplies, and equipment.

3% *In the absence of the Coordinator of Mail and Delivery Services, manages the operation of Mail and Delivery Services by planning, coordinating, and supervising the receipt and distribution of incoming and outgoing mail and by serving as a liaison for the Libraries with University Campus Mail and with the local U.S. Postal Service.

3% *Interprets various mail policies and procedures for the Libraries by maintaining awareness of changes in the U.S. and International Postal Service, Campus Mail, and various commercial shipping companies' policies to ensure the most efficient and cost-effective methods for mailing materials.

3% *Maintains fleet of Libraries vehicles by coordinating their use by all Libraries' staff, checking all fluids, scheduling appropriate servicing as needed, and maintaining all appropriate records.

2% Maintains security of loading dock area by following the Libraries' policies of restricted access.

3% Coordinates supply deliveries with the Accounting and Purchasing Department by signing for deliveries and assisting in unloading and set up.

3% Enters mail room data both manually and by computer for record keeping purposes.

2% Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE, Library Update, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

2% Maintains awareness and acts upon changes and needs in the organization by assuming other similar duties and responsibilities.
