POSITION: Assistant Evening Coordinator (Library Assistant III)

JOB SUMMARY:
The Assistant Evening Coordinator is responsible to the Assistant Head of Access Services for performing public service duties and a variety of routine and non-routine problems in order to maintain the integrity of the Libraries collection. The Assistant Evening Coordinator (AEC) serves as the person in charge in the absence of a Desk supervisor or the Circulation Coordinator. The AEC serves library patrons in accessing the collection by attending a public service desk including handling specialized services to Library patrons, supervising student assistants, handling unusual problems as they arise, processing materials, and maintaining accurate records. This position also provides key assistance to Security at night and on the weekends in case of an emergency situation in the Libraries. Work is performed under general supervision following established practices and procedures. Work at a computer terminal is required. Maintaining a flexible schedule and night and weekend work is required.
DUTIES AND RESPONSIBILITIES:
40% * Oversees the public service desks during non-business hours and on assigned weekends in the absence of the Circulation Coordinator by providing direct supervision to all students and staff working the desks and by handling all non-routine problems.
10% * Assists patrons with specialized access services by issuing various types of borrowers’ cards, placing and lifting flags and handling problems with patrons that concern policies, procedures and routines relating to the Public Service Desks by providing correct and courteous interpretations and solutions.
10% * Provides routine information and direction pertaining to Libraries policy by greeting patrons, assisting them with questions and directing them to appropriate Departments.
8% * Completes assigned projects and assists in other areas of the Department in order to facilitate work flow by offering services to other staff when appropriate and with the permission of the immediate supervisor.
5% *Assists the Reserves Supervisor with management of reserve processing.
5% * Creates reserve lists using GIL by setting up information for each course, adding item records and creating necessary course links. Adding item records includes creating temporary bibliographic records for personal items and readings placed on reserve; assigning call numbers and barcodes to items; and creating electronic reserves, which includes retrieving, photocopying, scanning, downloading or converting electronic formats of materials; securing the electronic files; and creating the electronic bibliographic records.
5% *Assists in the operation of the Libraries’ resource sharing program, GIL Express, by searching for material, preparing material for transport, instructing UGA patrons in the use of GIL Express, circulating materials to walk up patrons from other USG institutions and by communicating with other Libraries concerning problems that arise with GIL Express.
5% * Keeps materials circulating and available to patrons by assessing the status of items, searching for missing books, and generating various notices and correspondence.
5% * Generates information for annual and planning reports by maintaining statistics and extracting and verifying tabulated data from records.
5% * Maintains flexibility in the Department and organization by assuming other similar responsibilities as assigned.
2% Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.
