POSITION: Human Resources Assistant (HR Assistant II)

JOB SUMMARY:
The Human Resources Assistant is responsible to the Human Resources Manager of the University of Georgia Libraries for assisting with the daily operation of the Human Resources Department. Duties include assisting with faculty and staff recruitment; reserving resources for training events; gathering information and assisting in the development of reports; and providing assistance with the development and maintenance of human resources data and records. The HR Assistant also serves as the receptionist for the Administrative Offices of the Libraries and will perform administrative support for Administrative Offices staff, as necessary. This position requires a high degree of independent action, professional demeanor, and confidential treatment. Work is focused on processing and maintaining employee data/transactions and is performed in accordance with University, state and federal policies, rules, and regulations.
The mission of the Human Resources Department is to recruit and support a diverse and highly qualified workforce of faculty, staff, and student assistants. The Department’s initiatives and services are designed to promote a flexible and responsive work environment to support the organizational development of the UGA Libraries and to meet the changing human resource needs of the Libraries’ staff. The Human Resource Department is located in the Administrative Offices of the University of Georgia Libraries, which is comprised of the offices of the University Librarian and Associate Provost, Human Resources, Administrative Services, Development, and the Assistant University Librarian for Systems. The Human Resources Department is comprised of 3 professional support staff. The Libraries is comprised of 280 faculty and staff, and approximately 200 student assistants.
DUTIES AND RESPONSIBILITIES:
20% *Assists the HR Manager with the classified staff recruitment program by preparing search folders, scheduling interviews, preparing draft documents and composing routine correspondence, completing EEO forms for each applicant interviewed, and by compiling statistical information and/or completing questionnaires and surveys.
20% Assists the HR Manager with the faculty recruitment program by preparing search folders, preparing draft documents and composing routine correspondence, completing EEO forms for each applicant, creating and maintaining confidential webpages, and by compiling statistical information and/or completing questionnaires and surveys.
20% *Performs receptionist duties for the Administrative Offices and provides administrative support to the Administrative Offices staff, as required.
7% Resolves or assists in the resolution of policy-related, process-related, or procedural problems and/or inquiries received from employees and/or applicants.
7% *Provides administrative support to the HR Specialist for Payroll Services.
7% *Screens and distributes incoming daily mail for the HR Department and the Administrative Offices. Delivers mail to various University offices on North Campus and the Business Services Building and picks up accounts payable checks at the Business Services Building.
5% Assists the HR Manager with the Libraries’ staff training and development program by providing administrative support.
5% Organizes, maintains and keeps secure all required human resources records in support of salary, promotion, reclassification, disciplinary decisions, FMLA, ADA, and Workers’ Compensation.
3% Maintains the Libraries’ internal listserv, staff directory, HR Department’s web pages, and Staff Resources web pages.
3% Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, attending appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.
2% Maintains professional and technical knowledge by attending University T&D educational workshops, Libraries’ training events, and reviewing professional publications.
1% Maintains flexibility and awareness of changes and needs in the office and organization by assuming similar duties and responsibilities as assigned.
