Papers of The Office Of Bicentennial Planning

Between June, 1984 and April, 1987, the Department of Archives and Records Management received approximately 75 cubic feet of files and memorabilia from the Office of Bicentennial Planning. Because the records from this office were needed for consultation purposes by the office of origin through the close of the Bicentennial Celebration in November of 1985, it was necessary for each new accession from that office to be promptly processed. This has created an invention that represents a myriad of accessions across a three-year time span. The two principal shipments of Bicentennial material came to this office in November / December of 1985 and in April of 1987.

Physically, the collection encompasses thirty-seven record container boxes, four Hollinger boxes, five boxes of duplicate materials, two transfiles, and seven plates of oversized material, as well as forty-six matted and framed photographic studies of buildings on campus. The artifacts are diverse, from a commemorative Coke bottle to an Exposition visor, from a promotional video to a bumper sticker for Baldwin blueberries, from master planning notebooks to a Bicentennial necktie. Taken collectively, this is a representative look at the logistical complexities behind the planning and execution of the largest and most elaborate celebration in the history of the University of Georgia.

The inventory that follows will treat each accession separately in the chronological order in which the records were received. Because separate accessions were not numbered sequentially, there will be a limited duplication of box numbers. To avoid ambiguity in referencing, note should be taken of the accession date for the records desired.

There are a multitude of series and subseries represented here, due in no small part to the diversity of the items in this collection, but to the bulk of the materials can be classified in the broadestorganizational sense as belonging to:

  1. Administrative Subject File – chiefly the papers of Dr. Tom Dyer and Dr. Carol Winthrop;
  2. Memorabilia and Publicity File – including a clipping file sequence and three dimensional memorabilia;
  3. Oversized Materials File – usually posters, calendars, and other exhibition and promotional materials.

The Office of Bicentennial Planning was created by University President Fred Davison in 1980, and charged with the responsibility of planning and executing the Bicentennial Celebration for the University of Georgia. Dr. Tom Dyer was appointed General Chairman for the Bicentennial Celebration, and Dr. Carol Winthrop was appointed director of the Office of Bicentennial Planning. Following completion of itsmission, the Office of Bicentennial Planning ceased operations in June of 1986.

A Note on Organization

The original finding aid for the University of Georgia Bicentennial Collections treated with some specificity the shipments of records received at UGA Archives from 1984-1987 (and as noted above, arttempted to treat the accessions as chronologically received). These materials are to be found in the box listing and inventory represented by most of the numbers in the original accession, 97-109. File and item details in particular for 97-109:1 through 97-109:42 will follow the box listing. When box numbers appear in parentheses, they represent the original box number in each shipment as received.

Other materials will be represented by numbers in the box listing alone. Where materials remain unprocessed, that will be noted.

Bicentennial Photographs Project-Dennis O’Kain c.  1983-84.

The full scope of this project documents the buildings on the University of Georgia campus at Athens in a series of some 300 photographic exposures.  Of this number, 46 shots were chosen for exhibition purposes, and were subsequently printed, matted, and framed for that purpose.  These prints are indexed below.  Due to a lack of identifying marks, numbers were assigned on a geographical basis, starting at the northern end of the campus, and generally moving to the west and the south.  The end of the series includes two off campus buildings, and an unidentified structure believed to be located somewhere on South Campus.
